1. Who we are
FARSYNQ is a business workspace for projects, tasks, clients, meetings and AI-assisted planning. It is run by SOFTWARE SOLUTION GROUP LTD, a company registered in England and Wales (company number 16922407), registered office 2–16 Bury New Road, Manchester, M8 8EL, trading address The Box Works, 4 Worsley Street, Manchester, M15 4NU (“we”, “us”). - We are the controller for our website, contact form enquiries, billing, and the account details of people who sign up.
- We are the processor for what companies put into their own workspaces (projects, tasks, clients, meeting notes, documents). The company that owns the workspace is the controller, and we only use that data to run FARSYNQ for them.
2. What we collect

We don’t use advertising trackers, we don’t build profiles of visitors, and we don’t sell personal data. Our hosting provider (Lovable) records basic page-visit statistics for websites it hosts.
3. Our lawful bases (UK GDPR)
- Contract: providing your account, workspace and subscription.
- Legitimate interests: keeping FARSYNQ secure, preventing abuse and improving the service. We’ve considered that this doesn’t override your rights.
- Consent: marketing emails, only if you ticked the box on the contact form. You can withdraw at any time.
- Legal obligation: keeping records we must keep, such as for tax.
4. AI features
- AI features only run when someone in your workspace presses an AI button, and each one shows its cost in credits first.
- When you use one, the relevant workspace content (for example a meeting’s notes) is sent to OpenAI to produce the result. Only content the person pressing the button can already see is sent.
- Under OpenAI’s API terms this data isn’t used to train their models. They may keep it for up to 30 days to monitor for abuse, then delete it.
- AI results are always suggestions. Nothing changes in your workspace until a person confirms it, and FARSYNQ never sends emails written by AI.

When data goes outside the UK we rely on the protections UK law allows, such as the UK–US data bridge or the UK International Data Transfer Addendum. We also share data if the law requires it.
6. How long we keep it
- Account and workspace data: while your account or your company’s workspace is active. A paused workspace is kept so you can come back to it. When a workspace is deleted, its data is removed from the live database, and from backups within 30 days.
- Contact form enquiries: up to 24 months.
- Email and Slack delivery log: 90 days.
- Billing and AI credit records: up to 6 years, for accounting and tax.
7. Your rights
You can ask to see, correct, delete or get a copy of your personal data, or to restrict or object to how we use it. Email designsforge1@gmail.com and we’ll reply within one month. Workspace owners and admins can also download their workspace’s data at any time from Settings. If your data is in a company’s workspace, we may pass your request to that company, because they control it.
You can complain to the Information Commissioner’s Office at ico.org.uk or 0303 123 1113. We’d appreciate the chance to sort it out first.
8. Security
- Each company’s data is kept separate by database security rules that we test automatically.
- Connections are encrypted (HTTPS) and passwords are never stored in readable form.
- Secrets such as API keys are kept out of the app, and payment details stay with Stripe.
9. What FARSYNQ is not for
FARSYNQ is a general business workspace. It isn’t designed for health or care records, safeguarding case files, or other special category data, and doesn’t have the specialist controls that information needs. Please don’t store it in FARSYNQ.
10. Children and changes
FARSYNQ is for businesses and isn’t intended for anyone under 18. If we change this policy in a way that matters, we’ll tell account holders by email or in the app before it takes effect. See also our cookie policy and terms of service.
